Trip Policies and Cancellations

We are a small company and we would like to think that we can tailor trip and cancellation policy to the individual client. In many cases, we can.

But it is important for us to state our official cancellation policy.

We put considerable time and care into crafting our trips. We are committed to providing you with an unforgettable travel experience. Doing so involves some pre-trip costs that are irrecoverable in the case of cancellation. We also support local businesses and organizations as much as possible. In the case of cancellation, we will not allow any of our losses to be passed onto said businesses and organizations.

Please take a few moments to read our trip policy below.

Booking

To secure your spot on one of our trips, we require a non-refundable deposit at the time of booking. While the deposit is non-refundable, we do allow you to use it as a credit towards a future trip in the event that you cannot join.

If a trip has open spots, we will accept bookings up until departure. For trips that are full, we expect trip payment no later than two months before the trip starts.

Cancellation

If you need to cancel your trip, please notify us as soon as possible. The following cancellation fees apply:

If you cancel more than 45 days before the start of the trip, you will receive a full refund, minus the non-refundable deposit. The only exception to this is the Coast to Coast trip. In order to secure a full refund for the Coast to Coast trip, a cancellation request should be submitted no later than two months before the start of the trip.

If you cancel less than 30 days before the start of the trip, no refund will be given.

We strongly recommend purchasing travel insurance to protect your investment in case of unforeseen circumstances that may cause you to cancel your trip.

Changes to Itinerary

If there is one thing we have learned over the last several years it is that having hard and fast itineraries is just not working for us. If you are the sort of person that needs to plan things down to the minute, then maybe these aren’t the trips for you.

We have a plan, but for any number of reasons our plans could change daily. We should ‘nearly’ always be staying in places that we have pre-booked but as we like to say, nothing ever goes wrong on an SWA trip, things just might not go to plan.

We reserve the right to make changes to the trip itinerary at any point during or before the trip. 

Responsibility

Scoot West Africa acts as an agent for various independent suppliers that provide accommodations, transportation, sightseeing, activities, or other services connected with our tours. Such services are subject to the terms and conditions of those suppliers, not Scoot West Africa.

Scoot West Africa and its respective employees, agents, representatives, and assigns accept no liability whatsoever for any injury, damage, loss, accident, delay, or any other incident which may be caused by the negligence, defect, default of any company or person in performing these services. Responsibility is not accepted for losses, injury, damages, or expenses of any kind due to sickness, weather, strikes, local laws, or other such causes.
